1. Who handles your information
HaulNet is a trading name of HAULNET LTD. HAULNET LTD is the data controller for personal information collected through this platform. HAULNET LTD is registered in England and Wales under company number 17551445. The registered office is 42 Farmer Street, Wakefield, WF3 3SY, United Kingdom. HAULNET LTD is registered with the Information Commissioner's Office (ICO) under registration number ZC287999. The service runs on a server rented from OVHcloud. For privacy questions or requests, use the contact email at the bottom of this page or the tools in your account settings.
2. Information we collect
When you register, we collect your name, email address, account role, password in protected form, and any telephone number or company information you provide. Hauliers also provide operator-licence details or a declaration that an O-licence is not needed for their work, insurance information and supporting documents, including goods-in-transit insurance, vehicle insurance (hire and reward), optional public liability insurance, expiry dates and verification decisions.
When you use the marketplace, we process job descriptions, collection and delivery information, bids, messages, account activity, accepted quotes and payment-reference information. When someone registers launch interest, we collect their email address and the type of service they are interested in. Free-text fields, including job descriptions, notes, photo captions and questions or replies, are scanned automatically for contact details so the introduction fee cannot be avoided. Flagged items are reviewed by the operator of HaulNet.
Technical information such as IP addresses, session data, security and error logs may be recorded to keep the service operating and prevent misuse. Card payments are handled by Stripe; HaulNet does not need to store your full card number or security code.
3. Why we use information and our legal bases
We use account and transaction information to provide the service you request, manage bids, arrange introductions, and maintain your account, generally because it is necessary to perform our contract with you or to take steps you request before entering it.
We use security logs, fraud checks, account reviews and relevant communications where necessary for our legitimate interests in running a safe and reliable platform, after considering users' rights. We keep certain transaction and accounting records to meet legal obligations.
We use Meta Pixel, with your consent, to measure Facebook ads, page visits, registrations and job posts. Cloudflare Web Analytics measures website traffic without advertising cookies. Meta may receive your IP address, browser information, visited page URL and these events; we do not send names, email addresses, phone numbers or job descriptions as event data. You can reject Meta Pixel or withdraw consent through Cookie settings.
Where optional marketing requires consent, we will ask for it and you may withdraw it. Joining an interest list does not by itself authorise unrelated marketing.
4. When information is shared
Listings and bids display the information required to run the marketplace. The selected poster and haulier receive each other's contact details when the introduction is confirmed (after any due fee is paid). Please do not publish private phone numbers or email addresses in public job descriptions. If the automatic check hides wording, the original is kept for review by the operator of HaulNet and is not shown to other users unless it is restored as a false alarm.
We use third-party providers for card payments (Stripe), server hosting (OVHcloud), DNS, content delivery and security (Cloudflare), supporting document storage, and transactional email (Resend). Meta provides optional advertising measurement when you consent. Cloudflare also stores encrypted off-site copies of the database in the EU. Recovery and account-notification emails require sharing your email address and the message with the email provider. These providers may process limited data on our behalf or as independent controllers where their services require it. We may also disclose information where the law requires us to do so or to protect users and the platform.
We do not sell users' personal information to advertisers. If data is transferred outside the UK, we will use the relevant lawful protections where required.
5. Retention and security
We keep account and operational information while it is needed to run the service and for a reasonable period afterwards to resolve disputes, prevent abuse and meet applicable legal obligations. Financial and relevant business transaction records may need to be retained for up to six years or longer where the law requires. Haulier verification records are reviewed and retained according to their continuing relevance, and we will delete or anonymise data when no longer needed.
We use reasonable administrative and technical safeguards, including access controls and protected password hashes, but no internet service can guarantee absolute security. Do not send payment card details through site messages.
6. Your rights
Depending on the circumstances, you may ask to see your personal information, correct errors, have it erased, restrict its use, object to processing, or receive a portable copy. You may also withdraw consent where processing relies on consent. The right to object to direct marketing can be exercised at any time.
Signed-in users can download a JSON copy of their account information from Account settings, and can ask HAULNET LTD to close the account from the same page. We may need to verify your identity. Payment and invoice records that the law requires us to keep are anonymised rather than deleted. You may complain to the UK Information Commissioner's Office at ico.org.uk if you are concerned about our handling of your data.
7. Cookies and updates
We use necessary session and security technologies to let you sign in and use the platform. Our Cookies policy explains these and your choices.
We may revise this policy when the service, our providers or legal requirements change. The latest version will be published here.
